Job SummaryProvides administrative, clerical and secretarial
support to multiple executives and others in the organization.
Works independently to perform administrative duties including
organizing, planning, scheduling and tracking responsibilities for
the entire team. Assists management team to achieve defined
business goals. Essential Functions
- Provides general administrative and clerical support, including
composes, creates, edits, prints and copies general business
documents; opens, prioritizes, routes and distributes mail; makes
photocopies and sends documents via email or DocuSign.
- Answers email and postal mail; and alerts executive of any
urgent items requiring immediate attention.
- Prepares sophisticated texts, spreadsheets, graphics and chart
material for use in presentations, reports and correspondence.
- Handles confidential matters and information.
- Proofreads documents and checks signature items for accuracy
and conformance to company policy, practice and procedures.
- Schedules appointments, maintains calendar, coordinates
meetings and functions, plans events, arranges catering and makes
travel arrangements.
- Maintains attendance records, creates timesheets, enters time
data in SAP and monitors vacation, holiday and other absence
allotment usage.
- Initiates, coordinates and/or monitors status of assignments
and action items delegated to the executive and others in the
organization.
- Research topics of interest, requests for information and/or
routine inquiries.
- Compiles and summarizes information to formulate responses,
including draft correspondence, and may respond directly to
requests and/or inquiries. Essential Functions (cont.)
- Provides assistance and information to personnel outside the
Company including trade associations, government officials,
corporate representatives, vendors, contractors and customers.
- Inputs annual budget, prepares cost center reports, monitors
monthly variance reports and maintains related files.
- Organizes and maintains electronic and physical files, records
and documentation, in compliance with retention and destruction
policies.
- Prepares, completes and submits requests for expense
reimbursement and for payments to vendors.
- Able to master internal systems including, for example, SAP,
COUPA, and Passport in order to support creation of vendor
agreements / payment processing.
- Performs routine administrative tasks to include: handling
service calls and communications to resolve issues with regard to
facilities and company pool vehicles; handling forgotten, lost or
needed access ID badges; planning events such as government
official meetings and other events such as departmental
celebrations.
- Orders standard and non-stock office supplies and equipment;
kitchen supplies, including lunches, snacks and beverages as
needed.
- Participates in and supports special projects, committees and
task forces to accomplish assignments (such as reorganizations,
office relocation or software implementation) and volunteer
activities. Education Description
- Requires a high school education or the equivalent knowledge of
English, punctuation, grammar, spelling and basic mathematics
(ability to add, subtract, multiply, divide and calculate fractions
and/or percentages.
- Completion of the Certified Professional Secretary (CPS)
designation or the Certified Administrative Professional (CAP)
designation offered by the International Association of
Administrative Professionals may be substituted for up to two years
of experience. Experience
- Requires five (5) years of secretarial or administrative
experience. Requires proficient knowledge of software (including
word processing, spreadsheets, presentation, and e-mail) and
